Anonymous workflow build · Live parallel pilot

One controlled view for work arriving through several routes.

An independent producer needed incoming ecommerce, wholesale and manual work to become visible in one operating system—without forcing an immediate replacement of the planning process the team already knew.

The problem

Orders and requests arrived through several ecommerce, wholesale and manual routes. Each route carried different information and required a dependable hand-off into production. The operating risk was fragmentation: duplicated work, unclear state and exceptions that were harder for an owner to see.

How the workflow is structured

The system brings every route through the same controlled sequence. Automation organises the work; human checks still govern the operational decisions.

What was built

Central operating register

A single operational record across the supported incoming routes.

Multiple intake routes

Ecommerce, wholesale and manual work enter the same controlled model.

Duplicate-safe handling

Repeated work is detected and held rather than silently recreated.

Guarded states

Operational and production transitions retain defined human checks.

Owner-facing dashboard

A practical view of work, fulfilment and items requiring attention.

Weekly visibility and exceptions

Weekly workload and exceptions are surfaced without replacing judgement.

How it is being introduced

The workflow is running as a parallel pilot alongside the existing planning process. That makes the new operating view testable in real work while the familiar planner remains available. Customer communication remains manual.

Where this pattern can help

The same architecture is relevant when a business receives work through several forms, inboxes, platforms or people and needs one dependable view of what is happening next. The specific register and checks change by business; the useful pattern remains controlled intake, explicit state and visible exceptions.
